HiveLogix Events Liability Waiver and Event Agreement

This agreement applies when an organizer creates an event or a participant submits a registration through the free HiveLogix Events app.

1. Parties and scope

“HiveLogix,” “we,” “us,” or “our” means HiveLogix Technologies Corporation as provider of the Events app. “Organizer” means the person or entity creating or managing an event. “Participant” includes a registrant, attendee, parent, guardian, or person submitting a registration for another individual.

By checking the acceptance box and submitting the applicable form, the user confirms that they have read, understood, and accepted this agreement in the capacity in which they are acting.

2. Role of HiveLogix

HiveLogix provides a technical tool for publishing event information, receiving registrations, generating registration links and QR codes, tracking an aggregate participant count, and transmitting submitted registration information by email.

HiveLogix is not the event organizer, venue, promoter, sponsor, insurer, medical provider, security provider, payment collector, payment verifier, prize supplier, or seller of event goods or services. Displaying an event does not mean HiveLogix has inspected, approved, endorsed, or guaranteed it. A successful organizer email code confirms access to that mailbox only; it does not independently verify legal identity, authority, permits, safety, or event legitimacy.

3. Organizer representations and responsibilities

The Organizer confirms that they are authorized to create and administer the event and that all event information supplied is accurate, current, lawful, and not misleading.

The Organizer is solely responsible for:

  • event planning, permits, venue rights, safety measures, staffing, medical arrangements, security, accessibility, and compliance with applicable laws;
  • participant communications, eligibility, cancellations, postponements, substitutions, disputes, payments, refunds, taxes, prizes, souvenirs, and fulfillment;
  • the accuracy and fairness of event-specific terms, mechanics, health notices, payment instructions, promotional offers, and prize information;
  • protecting participant information received by email, restricting access, retaining it only as needed, and securely deleting it when no longer required;
  • obtaining any additional consent, parental or guardian authority, permit, insurance, or professional advice required for the event.

The Organizer must not use the app for unlawful, deceptive, unsafe, discriminatory, infringing, or abusive events or communications.

4. Participant acknowledgment and event risks

The Participant understands that attendance or participation may involve ordinary and event-specific risks, including bodily injury, illness, property loss, travel risk, weather, crowd conditions, physical exertion, food or allergen exposure, equipment use, or acts of other persons.

The Participant is responsible for reviewing the event information, assessing personal fitness and circumstances, following reasonable safety directions, and seeking appropriate medical advice where necessary. Registration through HiveLogix does not confirm admission, payment approval, eligibility, safety, or insurance coverage.

5. Release and limitation relating to the platform

To the fullest extent permitted by applicable law, the Organizer and Participant release HiveLogix from claims arising primarily from the conduct, cancellation, safety, quality, legality, payment handling, refund handling, communications, products, prizes, services, or failures of the Organizer, venue, sponsors, suppliers, other participants, or third parties.

The Events app is provided on an “as available” basis. HiveLogix does not guarantee uninterrupted availability, delivery of every email, accuracy of organizer-provided information, event completion, participant attendance, payment confirmation, or fulfillment of organizer commitments.

Nothing in this agreement excludes, restricts, or waives any right, remedy, duty, or liability that applicable law does not permit to be excluded, restricted, or waived. This includes liability for fraud, willful misconduct, or other non-waivable conduct where applicable.

6. Payments, refunds, prizes, and souvenirs

Any payment instruction shown on an event page is supplied by the Organizer. HiveLogix does not receive, hold, verify, refund, or guarantee event payments. Participants should independently confirm the Organizer and payment destination before paying.

The Organizer is responsible for refund rules, charge disputes, discounts, early-bird offers, prizes, kits, shirts, lanyards, mugs, medals, and other benefits. HiveLogix is not responsible for their availability, quality, delivery, valuation, or tax treatment.

7. Minors

A person registering a minor confirms that they are the parent, legal guardian, or an adult with sufficient authority to register the minor and provide the submitted information. The Organizer remains responsible for determining whether additional signed consent, age verification, supervision, or safeguarding measures are required.

8. Health information and emergency disclosure

Where an Organizer enables a health-information section, the Participant should provide only information reasonably necessary for event health and safety. The Participant authorizes use and disclosure according to the option selected in the registration form.

Regardless of the selected option, health or contact information may be disclosed when reasonably necessary to respond to an emergency or when required by law. The Organizer is responsible for appropriate access, confidentiality, security, retention, and deletion of health information received.

9. Participant information and email delivery

The app stores event and organizer information, together with an aggregate registration count, in the configured Events Google Sheet. Participant form fields and uploaded payment proof are processed temporarily in application memory and transmitted by email to the Organizer. They are not intentionally written to the Events Google Sheet or application database.

If a Participant supplies a valid email address, HiveLogix may send a registration copy to that address. Email providers, mail servers, and recipient mailboxes may retain messages and attachments under their own policies. Users should not submit information that is unnecessary for the registration purpose.

10. Organizer terms

Organizer-created terms, mechanics, notices, or policies are agreements between the Organizer and Participant. HiveLogix does not draft, approve, enforce, or guarantee those terms. If Organizer terms conflict with this agreement, this agreement governs the relationship with HiveLogix, while applicable Organizer terms may govern the event relationship to the extent lawful.

11. Indemnity for misuse

To the extent permitted by law, the Organizer agrees to defend, indemnify, and hold HiveLogix harmless from third-party claims, losses, or reasonable costs arising from the Organizer's event, content, payment instructions, handling of participant information, breach of this agreement, or violation of law, except to the extent caused by conduct for which HiveLogix cannot lawfully limit responsibility.

12. Electronic acceptance and records

Checking the acceptance box and submitting the form constitutes electronic acceptance. HiveLogix may record the agreement version, acceptance timestamp, verified Organizer email, event identifier, and registration reference as evidence of the transaction. A user should keep any confirmation email or registration reference received.

13. Suspension and changes

HiveLogix may suspend access to an event or the app when reasonably necessary for security, abuse prevention, legal compliance, maintenance, or protection of users. The agreement version accepted for an existing event or registration remains the version recorded for that transaction unless a new acceptance is required.

14. Governing law, severability, and contact

This agreement is governed by the laws of the Republic of the Philippines, without preventing application of mandatory rights that lawfully apply to a user. If any provision is held invalid or unenforceable, it will be limited or removed only to the minimum extent necessary, and the remaining provisions will continue.
